Notifications

Berqun sends two kinds of email. Notifications go out when an event happens. Summary emails go out every day at a time you choose. Each notification and each summary email has its own page. You find them by going to Settings in the left menu and looking under the Notifications and Summary Emails headings.

Setting up a notification or summary email

All of these pages work the same way:

  1. Turn on Enable this notification (on summary emails, Enable this summary email) at the top of the page. The other fields cannot be edited while it is off.
  2. Check when it is sent. For the offline notifications, choose 15, 30, 45 or 60 minutes in Notify after being offline for. For summary emails, choose the time in Send notification email at, in 15-minute steps. The other notifications are sent as soon as the event happens.
  3. Under Recipients, decide whether the email goes to everyone in scope or only to the people and teams you select.
  4. If some people should not get the email, add them under Recipient Exceptions. Anyone added there does not receive it, even if they match the recipients above.
  5. Click Save changes. If you try to leave the page without saving, the app asks you first; if you leave, your changes are not saved.

Notifications

Staff Offline: when a staff member stays offline during working hours for longer than the time you set, they receive an email alert themselves.

Manager Offline Alert: when a managed staff member stays offline during working hours for longer than the time you set, the responsible managers receive an email.

Leave Requests: managers are notified when staff submit a new leave request that needs approval.

Activity Requests: managers are notified when staff ask for an activity to be reclassified.

Agent Installation: super users are notified when an invited staff member has not completed the Berqun desktop agent installation.

Summary emails

Daily Work Report to Managers: managers receive a daily summary of their team’s working activity.

Daily Work Report to Staff: each staff member receives a daily summary of their own working activity.

Daily Working Hours to Managers: managers receive a daily summary of staff working hours.

Daily Absence Report to Managers: managers receive a daily summary of staff absences.

The summary is in the body of the email. No file is attached.
